Job Overview

The Operations Intern will provide hands-on support to HRF’s Operations team, with a primary focus on assisting with travel logistics, data management, and operational coordination in preparation for major conferences and events, including the Oslo Freedom Forum. This internship offers exposure to global event logistics, internal systems, and nonprofit operations in a fast-paced, mission-driven environment.

The ideal candidate is highly organized, detail-oriented, comfortable working with digital tools and data, and eager to learn how operations function behind the scenes at an international human rights organization.

 

Responsibilities and Expectations

Specific duties include, but may not be limited to:

  • Assist with travel and logistics coordination for conferences and organizational events, including flights, accommodations, and ground transportation for staff and external guests.
  • Enter, organize, and maintain records and documentation in tools such as Google Drive, Airtable, Monday.com, or similar productivity and data management systems.
  • Cross-check and verify travel and accommodation data for accuracy, including rooming lists, booking details, and traveler information.
  • Track and update booking statuses and logistics progress in shared trackers and internal systems.
  • Support communications related to travel and logistics by organizing and screening email responses, flagging issues, and tracking outstanding requests or follow-ups.
  • Assist with visa support processes by researching country-specific visa requirements and helping prepare supporting documentation under staff guidance.
  • Provide in-person operational and administrative support at the New York office, including sending and receiving mail and packages, managing shipments, and assisting with general office tasks.
  • Support the management of organizational assets and storage by organizing physical storage areas and creating or updating inventory lists of company equipment and materials.
  • Conduct basic research to support operations needs, such as researching vendors, tools, or service providers, and assisting with system or process setup.
  • Assist other members of the Operations team with administrative, logistical, or coordination tasks as needed.
  • Support ad hoc operational projects and tasks in a fast-paced, deadline-driven environment.

 

Qualifications

  • Currently enrolled in or recently graduated from a bachelor’s degree program, or equivalent experience.
  • Strong computer skills and comfort working with digital tools and databases.
  • Proficiency with Google Workspace (Docs, Sheets, Drive, Calendar); experience with tools such as Airtable, Monday.com, Notion, Salesforce, or similar platforms is a strong plus.
  • Excellent attention to detail and accuracy, particularly when working with data, schedules, and logistics information.
  • Strong organizational and time-management skills, with the ability to manage multiple tasks simultaneously.
  • Clear written and verbal communication skills, including professional email correspondence.
  • Ability to handle sensitive information with discretion and professionalism.
  • Proactive, reliable, and willing to take initiative while working under guidance.
  • Interest in operations, logistics, event planning, or nonprofit work is preferred.
  • Interest in human rights and alignment with HRF’s mission.

 

Compensation

This internship offers a monthly stipend of $2,500.
